Perfect Care's patient module was designed to be all-inclusive. All of a patient's demographic, insurance, and additional information is easily accessed on a single screen. There is no need to waste time fliping from one screen for a patient's insurance information to another for their phone number.

Special medical circumstances
We understand that all of your patients have special needs, as well as special medical circumstances. Perfect Care's Patient Module has been designed to accommodate such diverse needs by allowing you to create multiple patient cases if needed. For example, a patient may come to your office for a common illness. In this situation the patient's "normal" case will contain all medical and insurance information pertaining to their normal medical needs. The same patient, however, may come back to your office for an injury suffered at work. In this case, the patient may have separate insurances needed to handle their workers compensation case. Perfect Care allows you to create an infinite number of cases to handle all of a patient's insurance and medical needs.

Many patient accounts may have important information that could be pertinent in several different areas of the system. Perfect Care® allows you the option of creating and attaching notes to these accounts. These "pop-up" notes allow you to have the system display urgent patient information throughout the system, immediately upon accessing the patient's account.

Access patients using a wide range of search parameters
One of the most useful features that is found throughout Perfect Care is the ability to "Search". Specify the parameters for the information you desire and then watch as Perfect Care instantly gathers the information.

Responsible Party keeps patients "in the family”
In many medical practices, keeping track of which patients belong to which families can be a chore. Perfect Care has gone to great lengths to simplify this process by giving you the capability of setting up a "Responsible Party". This feature allows you to organize, track, and bill family or group accounts quickly and efficiently.

Add procedure codes on the fly
The charge entry process relies upon pre-configured information in your reference files. However, what happens if you need a code that is not in the system? Perfect Care solves this problem by allowing for data entry to be entered "on-the-fly." Simply enter the code without interrupting charge entry.

Expedite charge entry with information from the case
Perfect Care's® Charge Module was designed to automatically default information directly from the Patient Module. This eliminates the need for adding redundant information, typical of many software packages.

Recall system acts as an automatic reminder
Along with these timesaving features, Perfect Care also has many built in reminders. Many medical procedures require a patient to return for follow-up care. Perfect Care's "Patient Recall" option can be configured to display a reminder message in situations such as this. The system will automatically offer you the opportunity to establish a time in the future to remind both you and your patient of their next visit.

Approval number warnings remind you a referral expired
Another convenient reminder is Perfect Care's "Approval Number Warning" that will notify you when a patient's referral is about to expire. This can save your office from costly oversights.

Charge information can be corrected at any time
Perfect Care understands that speed and convenience are only useful if the information entered is accurate and secure. While Perfect Care allows you to update and edit your charge information with a simple click of your mouse, it will also maintain a complete and accurate audit trail for all transactions. You will always be able to track what was changed, when it was changed, and who changed it.

Perfect Care simplifies the billing process to ensure the maximum result with a minimum amount of effort. The billing process has been streamlined to help you bill more efficiently. Perfect Care®'s billing module puts an end to wasted hours generating insurance and patient bills.

Perfect Care supports both paper and electronic formats
Perfect Care® offers both paper and electronic billing to accommodate all of your insurance billing needs. Simply make your selections in Perfect Care's "Billing Component Manager" based upon the specific needs of your office. Electronic billing is a quick and efficient way for medical offices to expedite the submission of their claims. The sooner you bill, the sooner you get paid! With Perfect Care you can electronically bill directly to Medicare, Medical Assistance, and Blue Shield.

We understand that correcting inaccurate claim information can be costly and very time consuming. Perfect Care's billing system will automatically prevent "bad claims" from being included in your billing batch. You can edit the incorrect claims at your leisure, without delaying the submission of your "good claims".

Commercial claim submission with no charge per claim
Unlike other billing systems, you can submit claims through Envoy/NEIC at no charge per claim. The future of medical billing is electronic and Perfect Care provides you with that ability today!

Patient statements options
Perfect Care offers an option to print patient billing statements on plain paper. Why use expensive preprinted forms when you can customize and update your own patient statements as needed?

Bills may be reprinted at any time
Perfect Care® retains all of your billing batches until you decide to delete them. This means that any billing batch may be reprinted at any time. Patient billing can also be done electronically.

Perfect Care's Inquire Module is designed to be precise. Tracking your financial progress is the key to managing your office effectively, this is why Perfect Care places such importance on financial accuracy as well as maintaining a secure audit trail.

View changes for any transaction in the system
Every change that is made in the Payment or Charge Modules is tracked by Perfect Care's "What's Changed" option. The system highlights altered records in red to draw attention to the fact that they have been changed or deleted. This feature also informs the viewer as to what was changed, when, and by whom.

No need to memorize codes
The process of medical billing requires the use of CPT and ICD9 codes. Although most of the codes that you use on a daily basis are familiar to you, there are many codes that may not be. When using Perfect Care's Inquire Module, you will no longer need to refer back to a coding book to look up coding definitions. Click on the "Show Descriptions" button to have the system display the text descriptions, rather than the alphanumeric codes.

Viewing charge and payment information individually is helpful, but how do you determine which payments were applied to specific charges? Perfect Care's® "Itemized Charges" view offers you a complete list of a patient's charge transactions, and all of the payments applied to each.

Bad debt and collection information is a click away
Perfect Care's Collections module allows you to track the progress of delinquent accounts. From the instant that a charge is first sent to a collection agency to the time that it is finally reconciled, the Collections module will always keep you up to date on any past due accounts.

Some of the most important information in the system is entered through the Payment Module. Perfect Care® has been designed to automate much of the payment entry and calculation process for convenience purposes and to prevent errors.

Complete billing history
Due to the increasing demand of insurance companies upon medical practices, claims will often have to be corrected and resubmitted. Likewise, situations also arise where a claim will have to be billed to the same insurance company on several different occasions. To combat these demands Perfect Care offers the "Billing History" feature which will track every instance that the claim is billed, ensuring accurate tracking of your records.

Maintain an accurate payment audit trail
Perfect Care was engineered to be flexible, allowing you to update and edit payment information as needed. The audit trail allows you to track all of your changes, and and those of others, with accuracy.

"The second payment" option
In many instances, more than one payment or adjustment must be made to a single charge at the same time. With Perfect Care's® "Enable" option, you can create a second payment record which allows you to apply multiple payments without the need to enter them individually.

Customize your view
To accommodate specific needs at any office, we offer multiple options so you can select the exact charge information that you want to see. When adding payments, your charges may be viewed by insurance company, date of service, or collection agency.

View your charges by the responsible party
Perfect Care's® flexible viewing options also gives you the ability to view charges for an entire family at the same time. Simply select the Responsible Party, or head of household, and the charges for all of the family members will be listed below.

The Reports Tab
Financial reports are essential, allowing you to track the progress of your doctors, staff members, and patients. Perfect Care's Report Module offers a multitude of options to get the most out of your information.

Batch print reports
Many situations require the use of several different reports each time they arise. For example, at month end you may need a specific group of reports to manage your practice. Perfect Care® allows you to combine specific reports into a batch that you can easily print. Next month it will not be necessary to remember each individual report that you need. Just select your batch and print!

Protect your privacy
Most of the financial information entered into Perfect Care is of a sensitive nature. Perfect Care secures all of your financial reports by allowing you to set up access limitations for your employees.

Every report can be customized
Reports are only truly useful when they contain the information you need. Perfect Care allows you to customize all of your reports and save these parameters for future use.

Preview reports before you print
Perfect Care® is not only concerned with generating income for your practice, but with saving you money as well. The "Print Preview" function of the Report Module saves you money by eliminating excess paper waste. You can easily preview your reports prior to printing to make sure that you are getting exactly what you want. Print Preview also allows you to view and change your parameters without wasting paper or time.

The Clinical Tab
Perfect Care was designed to work in multiple aspects of a medical practice and fulfill a variety of needs. We have developed additional program modules that can be added to meet the diverse requirements of the medical industry. The clinical subsystem can track patient immunizations, expected date of delivery, medications or other practice-specific patient information.

The Documents Tab
Perfect Care's Documents Module allows you the flexibility of printing several types of reports (including patient information sheets, charge slips, receipts, etc.), and they can all be generated on plain paper. With Perfect Care's Documents Module, there is no need to order special perforated, preprinted forms. Patient and Responsible Party documents can be configured, created, and printed in a matter of seconds!

The Appointments Tab [VIEW SCREEN SHOT]
Perfect Care's multifaceted Appointment System will help you keep track of your patient visits, while also offering you the option of color-coding the appointments based upon the visit reason, for easy reference. It also offers an appointment search feature, which allows you to find any future open appointments on demand.

The Labels Tab
Patient mailing labels are important for patient recall or to notify a patient with a specific diagnosis of pertinent medical information. Perfect Care can provide mailing labels for a variety of needs.

The Reconciliation Tab
Perfect Care also has an Electronic Payment Remittance module, which can automatically post Medicare payments. The Electronic Payment Remittance module will automatically configure and attach the correct payment to the correct charge instantly.
