Generate Patient Reminders

In order to qualify for the patient reminder measure (more than 20 percent of all patients 65 years or older or 5 years old or younger were sent an appropriate reminder during the EHR reporting period), the provider must generate patient reminders for preventative or follow-up care. Do note, however, that the EP has the discretion to determine the frequency, means of transmission, and form of the reminder limited only by the requirements the HIPAA Privacy Rule, as specified at 45 CFR 164.522(b), and any other applicable federal, state or local regulations that apply to them.

The “Send patient reminders for preventive/follow-up care” numerator calculation for meaningful use is then based upon letters that are generated via the Letters module in Practice Manager. Use the following steps to generate patient reminder letters via Practice Manager.

 

NOTE: The patient’s status (in the Patient tab) cannot be blank in order for Letters to generate properly.

 

  1. In Practice Manager, click Add-Ins > Letters.
     

  2. In the Document - Letters dialog, select the Type of Letter (i.e., Recall Letters) you are printing in the drop-down list to the right.



     

  3. After the Letter Type has been selected, click the Open button.
     

  4. In the Open dialog, highlight the appropriate letter, and then click the Open button.



     

  5. Click the Print button.
     

  6. In the Select and Sorts dialog, select a Saved Configuration, or add Select Criteria and Sort Criteria as needed. This will determine what patients will have letters printed, and in what order. For our example, we are selecting Recall Date in the of Next Month for the Select Criteria. These parameters can be added or modified as needed for your circumstances.



     

  7. When finished, click the Print Letters button.
     

  8. The system will then collect any patients that match the criteria configured, and a dialog will appear telling you how many. Click the Yes button to continue printing the applicable letters.
